Setting Each Activity in Detail

Operation
  1. Select the activity in the [Draw] area.
  2. Click ([Show Details] icon) in the [Editing Buttons] area.
    The [Basic Attributes] page of the [User Activity Definition] window is displayed.
    The items displayed vary depending on the selected activity.

    For the tabs that can be set depending on the activity type ➯ "[User Activity Definition] window"

  3. Go to any of the following steps, and set the details.

Setting Basic Attributes

Operation
  1. Set the following items in the [Basic Attributes] page of the [User Activity Definition] window. The items that can be set vary depending on the activity type.

Setting Form

Operation
  1. Select the [Form] tab in the [Basic Attributes] page of the [User Activity Definition] window.
    The [Form] tab page of the [User Activity Definition] window is displayed.
  2. Go to the following items, and set the form.
  3. Creating User-defined Attributes Used in the Form
    1. Click the [Create New Attribute] link in the [User-defined Attributes] area.
      The [Create New Attribute] area is displayed below the [User-defined Attributes] area.
    2. Set the following items.
      • [Attribute Value]
      • [Data Type] drop-down list
      • [Mode] radio buttons
      • [Description]
      • [Enumeration] (for string data type)
      • [Regular Expr] (for string data type)
      • [Characters] (for string data type)
      • [Range] (for integer or floating-point data type)
      • [Expression] (for embedded string data type)
      • [Elements] (for multi-value data type)
    3. Click the [Create] button.
      The [Form] page of the [User Activity Definition] window is displayed, and the created attributes are added to [User-defined Attributes] area.
    Editing User-defined Attributes Used in the Form
    1. In the [User-defined Attributes] area, click the name of the attribute to be edited.
      The [Attribute Details] area is displayed below the [User-defined Attributes] area.
    2. Set the following items.
      • [Attribute Value]
      • [Description]
      • [Enumeration] (for string data type)
      • [Regular Expr] (for string data type)
      • [Characters] (for string data type)
      • [Range] (for integer or floating-point data type)
      • [Expression] (for embedded string data type)
      • [Elements] (for multi-value data type)
      • [View Format] drop-down list (when the data type is string or URI type)
    3. Click the [Apply] button.
      The [Form] page of the [User Activity Definition] window is displayed, and the attributes are edited.
    Deleting User-defined Attributes
    1. In the [User-defined Attribute] area, mark the checkboxes on the left of the attributes to be deleted.
    2. Click ([Delete Attributes] icon).
      The selected attributes are deleted.
    Inserting User-defined Attributes into a Form
    1. Mark the checkbox on the left of the field candidate attributes to be inserted into a form.
    2. Click the [Insert into Form] button.
      The checkmarked field candidate attributes are moved to the [Field Definition] area.
    Setting Permissions of Each Attribute

    In the [Field Definition] area, select the permissions of each attribute of the activity.

    1. Select the permission of the attribute from the [Permissions] drop-down list for each attribute.
    2. In [Default Value] for each attribute, enter the default value as needed.
    3. When [Custom] is selected for [Permissions], set the access permissions of document type attribute in detail by using the [Access Permissions] checkbox.
    4. Specify the lock type for document type attribute as needed.
    5. To change the listing order of the fields, mark the checkbox on the left of the attribute to be moved up or down, and then click [↑] button or [↓] button.
    6. To check the preview of the form, click the [Preview] button.
    7. To delete the attribute, mark the checkbox on the left of the attribute to be deleted, and click the [Delete] button.
      The selected attributes are deleted.

Setting Transition Conditions

Operation
  1. Select the [Transition Conditions] tab in the [User Activity Definition] window.
    The [Transition Conditions] tab page of the [User Activity Definition] window is displayed.

    The [Transition Conditions] tab page of the [User Activity Definition] window lists the activities to be performed next.
  2. Click the link to the [Next Activity].
    The items to be set for the next activity selected are displayed.
  3. Set the following items.
  4. Set the conditions of the next activity by one of the following procedures.
  5. To change the priority among the next activities, mark the checkbox on the left of the next activity whose order you want to change, and click [↑] button or [↓] button.
  6. Click the [Apply] button.
  7. Setting Conditions of the Next Activity
    1. From the [Type] drop-down list, first, specify whether the attribute is the Workprocess attribute or an attribute of a particular activity, and then select the specific attribute name of the form.
    2. Set the condition expression.
      1. From the drop-down list displayed on the right of the attribute name drop-down list, select the operator for comparison.
      2. In the textbox on the right of the drop-down list selected in step ⅰ, enter the key value.
      3. Click the [Add] button to add another expression.
      4. Click the [Remove] button to remove an expression.
    3. Set the conditions of the next activity by repeating steps a and b as needed.
    4. When multiple expressions are set, click the [OR] radio button to specify that the condition is satisfied when any of the set condition expressions is met.
      When multiple expressions are set, click the [AND] radio button to specify that the condition is satisfied only when all of the set condition expressions are met.
Entering the Transition Condition Expression in Text Entry Mode
  1. Enter the transition condition expression in the text input field.

Setting Notification Details

Operation
  1. Select [Notification] tab in the [Workflow Definition Details] page.
    Mail notification details currently set in the [Notification] tab page appear.
  2. For the following mail notification events, select [Default] radio button in [Content], [Custom] radio button, or [No notification] radio button.
    When the [Default] radio button or [No notification] radio button is selected, go to step 4. When the [Custom] is selected, go to step 3.
  3. Enter the mail notification details in [Title] and [Message].
    If [Custom] is selected for [Specifying Method], you need to enter in either the title or message field.

  4. Click the [Apply] button.
    The setting is registered.

Setting Expiration Process

Operation
  1. Select the [Expiration Process] tab in the [User Activity Definition] window.
    The expiration processes currently set are listed in the [Expiration Process] tab page.
  2. Click the [Add] button.
    The [Add Expiration Process] window is displayed.

  3. Set the following items.
  4. Click the [Add] button.
    The expiration process is added.

Setting Parameters

Setting Parameters for Unlock Document Definition
The parameters to be set vary depending on the type of the target activity.
The rest of this section describes the values to be set in the [Parameters] tab for each activity type.

Setting Parameters for Document Unlock Activity
Operation
  1. In the [User Activity Definition] window, select the [Parameters] tab.
    The [Parameters] page (Unlock Document Definition) of the [User Activity Definition] window is displayed.
  2. Set the following items.
  3. Click the [Apply] button.
Setting Parameters for Uncheck-out Document Definition
Operation
  1. In the [User Activity Definition] window, select the [Parameters] tab.
    The [Parameters] page (Uncheck-out Document Definition) of the [User Activity Definition] window is displayed.
  2. Set the following items.
  3. Click the [Apply] button.
Setting Parameters for Check-in Document Definition
Operation
  1. In the [User Activity Definition] window, select the [Parameters] tab.
    The [Parameters] page (Check-in Document Definition) of the [User Activity Definition] window is displayed.
  2. Set the following items.
  3. Click the [Add] button, and select an attribute template of DocumentSpace from the [Attribute Template] drop-down list of the attribute selection window.
    The attributes contained in the selected template are listed.
  4. To set a value for the attribute of a document, select the attribute and click the [Add] button.
    When no document attribute is set, go to step 6.
  5. From the [Specifying Method] drop-down list, select the method for specifying the attributes.
    When [Attribute] is selected:
    1. From the [Attribute Type] drop-down list, select the attribute type.
      • [Workprocess Attribute]
      • [Activity Attribute (Activity Name)]
      • [User-defined Attribute]
      The attribute name corresponding to the selection in attribute type is displayed in the [Attribute Name] drop-down list.
    2. From the [Attribute Name] drop-down list, select an attribute name.
    When [Text (Expression Embeddable)] is selected:
    1. In the [Attribute Value] textbox, enter the value in text.

    When [Expression] is selected:
    1. Enter the expression in the [Attribute Value] textbox.

  6. Click the [Apply] button.
Setting Parameters for Document Registration Activity
Operation
  1. In the [User Activity Definition] window, select the [Parameters] tab.
    The [Parameters] page (Document Registration Definition) of the [User Activity Definition] window is displayed.
  2. Set the following items.
  3. To set a value for the attribute of a document, click the [Add] button, and select an attribute template of DocumentSpace from the [Attribute Template] drop-down list in the attribute selection window.
    The attributes contained in the selected template are listed.
  4. To set a value for the attribute of a document, select the attribute and click the [Add] button.
    When no document attribute is set, go to step 6.
  5. From the [Specifying Method] drop-down list, select the method for specifying the attributes.
    When [Attribute] is selected:
    1. From the [Attribute Type] drop-down list, select the attribute type.
      • [Workprocess Attribute]
      • [Activity Attribute (Activity Name)]
      • [User-defined Attribute]
      The attribute name corresponding to the selection in attribute type is displayed in the [Attribute Name] drop-down list.
    2. From the [Attribute Name] drop-down list, select an attribute name.
    When [Text (Expression Embeddable)] is selected:
    1. In the [Attribute Value] textbox, enter the value in text.

  6. Click the [Apply] button.
Setting Parameters for Notification Definition
Operation
  1. In the [User Activity Definition] window, select the [Parameters] tab.
    The [Parameters] page (Notification Definition) of the [User Activity Definition] window is displayed.
  2. With respect to [TO], [Cc], and [Bcc], select a specifying method from the [Specifying Method] drop-down list.
  3. From the [Specifying Method] drop-down list, select the method for specifying the attributes.
    When [Attribute] is selected:
    1. From the [Attribute Type] drop-down list, select the attribute type.
      • [Workprocess Attribute]
      • [Activity Attribute (Activity Name)]
      • [User-defined Attribute]
      The attribute name corresponding to the selection in attribute type is displayed in the [Attribute Name] drop-down list.
    2. From the [Attribute Name] drop-down list, select an attribute name.
    When [Value] is selected:
    1. Enter [Name] and [Mail Address].
    When [Expression] is selected:
    1. Enter the condition expression in the [Attribute Value] textbox.

  4. Enter the title of the mail in [Title].
  5. Enter the body text of the mail in [Message].
  6. Click the [Apply] button.
Setting Parameters for Exception Definition
Operation
  1. In the [User Activity Definition] window, select the [Parameters] tab.
    The [Parameters] page (Exception Definition) of the [User Activity Definition] window is displayed.
  2. Enter an exception name in [Exception Name].
  3. Click the [Apply] button.
Setting Attribute Settings Definition
Operation
  1. In the [User Activity Definition] window, select the [Parameters] tab.
    The [Parameters] page (Attribute Settings Definition) of the [User Activity Definition] is displayed.
  2. In the [User-defined Attributes] area, mark the checkbox of the attribute for which you want to set parameters, and then click the [Insert into parameter] button.
  3. From the [Specifying Method] drop-down list, select the method for specifying the attributes.
    When [Attribute] is selected:
    1. From the [Attribute Type] drop-down list, select the attribute type.
      • [Workprocess Attribute]
      • [Activity Attribute (Activity Name)]
      • [User-defined Attribute]
      The attribute name corresponding to the selection in attribute type is displayed in the [Attribute Name] drop-down list.
    2. From the [Attribute Name] drop-down list, select an attribute name.
    When [Expression] is selected:
    1. Enter the expression in the [Attribute Value] textbox.

    When [Value] is specified:
    1. Enter the value in the [Attribute Value] textbox.
    When [Text (Expression Embeddable)] is selected:
    1. In the [Attribute Value] textbox, enter the value in text.

  4. Click the [Apply] button.
Setting Parameters for Standby Definition
Operation
  1. In the [User Activity Definition] window, select the [Parameters] tab.
    The [Parameters] page (Standby Definition) of the [User Activity Definition] window is displayed.
  2. Set the [Standby Period].
  3. Click the [Apply] button.
Setting Parameters for External Command Definition
Operation
  1. In the [User Activity Definition] window, select the [Parameters] tab.
    The [Parameters] page (External Command) of the [User Activity Definition] window is displayed.
    The [Parameters] to be passed when the command is started and [Result Parameters] to be returned after the command is run are listed separately based on the contents of the external command settings file. The displayed items vary depending on the contents of the external command settings file.

    As input items, the items described in "/awf-command/parameters/parameter" of the external command settings file are displayed in the same order.

  2. For each item of [Parameters], select the specifying method of the attribute from the [Specifying Method] drop-down list.
    When [Attribute] is selected:
    1. From the [Attribute Type] drop-down list, select the attribute type.
      • [Workprocess Attribute]
      • [Activity Attribute (Activity Name)]
      • [User-defined Attribute]
      The attribute name corresponding to the selection in attribute type is displayed in the [Attribute Name] drop-down list.
    2. From the [Attribute Name] drop-down list, select an attribute name.
    When [Expression] is selected:
    1. Enter the expression in the [Attribute Value] textbox.

    When [Value] is specified:
    1. Enter the value in the [Attribute Value] textbox.
    When [Text (Expression Embeddable)] (string type only) is selected:
    1. In the [Attribute Value] textbox, enter the value in text.

  3. Set the [Attribute Name for Results] of the [Result Parameters].
  4. Click the [Apply] button.
Setting Parameters for Document Attributes Settings

  2. Set the following items.

Operation
  1. In the [User Activity Definition] window, select the [Parameters] tab.
    The [Parameters] tab page (Document Attributes Settings Definition) of the [User Activity Definition] window is displayed.
  2. In the [User-defined Attributes] area, mark the checkbox of the attribute for which you want to set parameters, and then click the [Insert into parameter] button.
  3. Set the following items.
  4. Select Attribute Template in [Attribute Template] of DocumentSpace from [Attribute Template] drop-down list.
  5. Click the [Apply] button.
Setting Parameters for Creating Task
Operation
  1. In the [User Activity Definition] window, select the [Parameters] tab.
    The [Parameters] tab page (New Task Definition) of the [User Activity Definition] window is displayed.
  2. From the [Specifying Method] drop-down list, select the method for specifying the attributes.
  3. When [Attribute] is selected:
    1. From the [Attribute Type] drop-down list, select the attribute type.
      • [Workprocess Attribute]
      • [Activity Attribute (Activity Name)]
      • [User-defined Attribute]
      The attribute name corresponding to the selection in attribute type is displayed in the [Attribute Name] drop-down list.
    2. From the [Attribute Name] drop-down list, select an attribute name.
    When [Expression] is selected:
    1. Enter the condition expression in the [Expression] textbox.

    When [Value] is selected:
  4. Enter the task name to be created in [Task Name (required)].
  5. Enter the task description in [Task Description].
  6. From [Attachment Files] drop-down list, select the document attribute of the file to be registered as an attachment file of the description of task for task creation.
  7. To make a task not allow access by non-participants, mark the [Deny access by non-participants] checkbox in [Access Permissions]
  8. From [Attribute for New Task ID] drop-down list, select an integer-type workflow attribute to which the task ID to be created is assigned.
  9. From [Attribute for New Task URL] drop-down list, select the task name to be created and a URI-type workflow attribute to which the URL to be accessed is assigned.
  10. Click the [Apply] button.
Setting Parameters for Document Stamp Activity
Operation
  1. In the [User Activity Definition] window, select the [Parameters] tab.
    The [Parameters] page (Document Stamp Definition) of the [User Activity Definition] window is displayed.
  2. Set the following items.
